News for the Special Round Calculation

Dear Participant,

The Controllab Proficiency Testing Program is constantly evolving, adapting to technological, regulatory, and scientific changes that impact the sector.

Among the changes, we remind you of the availability to report results in multiple systems, initiated for the clinical area and under study for other areas. This functionality has impacted the calculations for the Special Round classification (recall here what this round is) in all services: clinical, hemotherapy, veterinary, microbiology, and physical-chemical.

To help you understand these impacts, we have prepared three sequential videos that explain the changes applied if your laboratory is classified for the Special Round.

Invite your team and watch each of them, discussing the changes. If you still have questions, do not hesitate to contact us.

QUESTIONS AND ANSWERS ABOUT THE SPECIAL ROUND

Frequently asked questions so that you can better understand this opportunity to recover and improve your annual performance.

What is the special round?
The special round is an opportunity to improve and recover annual performance in the Proficiency Testing Program. Each test requires a minimum performance for certification (%Amin cert.), which varies from 80% to 100%. If the percentage is not reached at the end of the year, the special round offers the opportunity to recover.

This round takes into absences of participation, temporary cancellations, new registrants who missed a round, and allows for the improvement of inadequate results obtained during the year.

How does the special round work?
After the Accumulated Year closes, the Online System checks whether the establishment is able to participate in the special round. It calculates the minimum performance required in the special round to obtain the Certificate of Proficiency. This minimum performance is displayed in the General Cumulative Report, in the column (%Amin esp).

After participating in the special round, the evaluation obtained can be viewed in the column (Round), which presents the appropriate, inadequate and unevaluated essays, in addition to the adequacy percentages of the special round (%AESP) and the final one (%AFINAL).

Based on the performance in the special round, the system recalculates the %A, checking whether the test reached the minimum percentage for certification (%Amin cert), considering the performance obtained in the special round.

How do I know which modules/tests I need to recover?
The General Accumulated Report, available in the Online System, shows the tests that did not reach the required performance (%Amin cert.). Compare the percentage obtained during the year (%AAC) with the level of performance described in Procedure ANVISA/Reblas 02/43.

In the Special Round request form, the modules with tests to be recovered or improved are listed. Modules with all tests already at maximum level or with no chance of recovery do not appear in the request.

What happens if I don’t request the special round?
If you do not participate in the special round, the certificate will only be issued with tests that achieved the required performance (%Amin cert.). Rounds lost during the year can only be recovered in the special round.

Until when can I request the special round? When will it be shipped?
After users have been classified for the special round, Controllab announces the period for requests and submission of the round. If you miss the deadline, contact Controllab immediately to check the possibility of participation. Requests within the deadline guarantee the production and shipping of materials on the scheduled date.

In order to speed up the issuing of certificates, no extensions are granted to the special round response deadlines.

Why are some modules not appearing in my request?
The application only includes modules with tests that can be recovered or improved. Modules with no chance of recovery or improvement are omitted.

Do I have to answer all the tests in the special round?
It is not mandatory to answer all the tests, but it is recommended to complete all the tests in the module to contribute to a more consistent statistical result and a better evaluation for everyone.

Can I request just the test I need to retrieve?
T
he special round request is modular. When requesting a module, all of its tests are available to perform, helping to build a more robust statistical result.

How do I submit a special request? And if I fill it in wrong, can I correct it?
Any user registered by the laboratory can make the request, which can be changed in the Online System until the deadline expires. Check the request with Controllab’s relationship administrator to avoid multiple requests or disagreements between users. Only the last valid request submitted will be considered.

In the event of errors, if the deadline has not yet expired, change it and send it again. If the deadline has already passed, contact Controllab immediately to check whether it can be changed.

For public institutions, is the registration process different? How should I proceed?
To participate, send the request available in the Online System. Based on your choice to participate, a proposal will be sent. The round material is sent after acceptance of the proposal via commitment note, service order, service authorization, supply or authorization to issue an invoice.
